DATA   PRIVACY POLICY AND PROTOCOLS

Statement of Privacy Policy

CASA REAL MONTESSORI, INC. is committed to protecting the privacy of its data subjects, and ensuring the safety and security of personal data under its control and custody. This policy provides information on what personal data are gathered by CRMI about its current, past, and prospective students; how it will use and process this; how it will keep this secure; and how it will dispose of it when it is no longer needed. This information is provided in compliance with the Philippine Republic Act No. 10173, also known as, the Data Privacy Act of 2012 (DPA) and its Implementing Rules and Regulations. It sets out CRMI’s data protection practices designed to safeguard the personal data of individuals it deals with, and also to inform such individuals of their rights under the Act.

 

This Data Privacy Notice and Consent Form may be amended at any time without prior notice, and such amendments will be notified to you via AC’s website or by email.

 

Privacy Notice

Information Collected

CRMI collects, stores, and processes personal data from its current, past and prospective students, starting with the information provided at application through to information collected throughout the whole course of her study at the school. This will include:

 

  • Contact information, such as, name, addresses, telephone numbers, email addresses and other contact details
  • Personal information, such as date and place of birth, nationality, immigration status, religion, civil status, student ID, government-issued IDs, web information, recommendations and assessment forms from previous schools, etc.
  • Family background, including information on parents, guardians, siblings, related alumnae, etc.
  • Student's school works, including data gathered using third party online learning tools, such as EDUCAITPH (Learning Management System).
  • Health records, psychological evaluation results, disciplinary records, and physical fitness information
  • Student Cumulative Guidance Folder, which includes interviews, entrance exam results, guidance assessments, special needs, exclusions/behavioral information, etc.
  • Permanent Student Academic Records, including transcripts and the academic history of the student in CRMI.
  • Student extra-curricular activities, résumés, job interview forms
  • Financial and billing information

 

Use of Information

The collected personal data are used solely for the following purposes:

 

  • Processing of admission application and student selection (and to confirm the identity of prospective students and their parents)
  • Verifying authenticity of student records and documents
  • Processing of scholarship/ subsidy applications and its on-going requirements
  • Processing of enrollment and registration
  • Supporting student learning, and validating students’ program of study based on curriculum requirements, and other activities and experiences forming part of the student’s formation and education
  • Supporting the student’s well-being and providing medical services and guidance counselling
  • Monitoring and reporting on student progress; processing of evaluations, exam results, and grades
  • Monitoring and ensuring the safety of all students within the CRMI premises
  • Processing and generating statements of accounts
  • Processing of application for graduation
  • Documentation of students’ data

 

Use of Student Photographs and Videos

The students of CRMI participate in a wide-range of school-related activities where their photographs, videos, and other recorded materials may be captured. CRMI may opt to use the above-mentioned materials, in whole or in part, for various materials, documentations and publications of the School solely for the following purposes:

• School announcements to celebrate and recognize student achievements;

• School exhibits;
• Records of activities or events;
• Evaluation reports of activities or events;

• School yearbooks;

• Illustrations of activities or events for articles published in various formats, including but not limited to the school newspaper, website, Facebook, Twitter, Instagram, etc.;

• Marketing and publicity-related materials, including but not limited to print, broadcast, outdoor, and/or digital advertising, etc.; and

• Other sanctioned activities and official publications of the School.

 

Information Sharing

Personal data under the custody of CRMI shall be disclosed only to authorized recipients of such data. Otherwise, we will share your personal data with third parties, other than your parents and/or guardian on record for minors, only with your consent, or when required or permitted by our policies and applicable law, such as with:

  • Regulatory authorities, courts, and government agencies, e.g., Department of Education
  • The Private Education Assistance Committee (PEAC), which serves as a trustee of Fund for Assistance to Private Education (FAPE) and manages the subsidy provided by the Department of Education to the Junior and Senior High School students.

a service organization which accredits academic programs that meet commonly accepted standards of quality education.

  • School partners and other academic linkages who provide internships for our students.

 

 

Data Transfer

Where CRMI consider it necessary or appropriate, for the purposes of data storage, processing, providing any service or product on our behalf to you, or implementing an academic linkage program, we may transfer your personal data to third parties within or outside of the Philippines, under conditions of confidentiality and similar levels of security safeguards.

 

 

Security

We continue to implement organizational, administrative, technical, and physical security measures to safeguard your personal data.

Only authorized personnel have access to your personal data, the exchange of which (mainly within campus) is facilitated through internal shared servers, email, and paper files.

Should third parties need access to your personal data, we require some form of data sharing agreement with them, in compliance with the DPA.

Your paper and digital files are securely stored: employing physical security to safeguard the paper files and technical security to protect the digital files.

Retention of Information

We keep your paper and digital files only for as long as necessary.

  1. The Permanent Student Academic Records are kept by the Registrar’s Office for 50 years after last graduation from CRMI.
  2. Application forms and documents of unsuccessful applicants are kept.
  3. Scholarship application forms and supporting documentation are kept for five years.
  4. The Student Cumulative Guidance Folders are kept by the divisional Guidance Office for five years after graduation.
  5. Student school works are kept for two years, but, in a few cases, selected student works may be retained for 5 years as exemplars.
  6. The class records are kept for one year after graduation.
  7. Non-academic records, extra-curricular activities, emergency contact forms, etc. are kept for two years.
  8. Financial and billing information are kept by the Finance Office for 10 years.

When your personal data are no longer needed, we take reasonable steps to securely destroy such information or permanently de-identify it.

Your rights

You have the right to be informed, object to processing, access and rectify, suspend or withdraw your personal data, including, any such information held by third parties, with whom CRMI have a data sharing agreement.

If you have a concern or complaint about the way we are collecting or using your personal data, you should raise your concern with us in the first instance or directly to the National Privacy Commission.

Notice of Changes to this Data Privacy Policy

CASA REAL MONTESSORI, INC.  update its Privacy Policy from time to time. It will notify you of any changes by posting the new Privacy Policy on its website and update the “effective date” at the top of this Privacy Policy. You are advised to review this Privacy Policy periodically for any changes.

CONSENT AND CONFORME

 YES. We have read and understood the School's Data Privacy Policy Statement and hereby express our unconditional consent, which consent shall be deemed given by us for and on our behalf and that of our child, for the School to collect, use, process and store our personal information for the following periods of time: (a) until fulfilment of the declared, specified, and legitimate purpose such that any processing relevant to the purpose has been terminated or until such time as may be necessary for any purpose incidental to such; (b) for the establishment, exercise or defense of legal claims by the School; or (c) for the School's legitimate business purposes, and in pursuance of the School's academic freedom as guaranteed by the Constitution, that are consistent with applicable jurisprudence, the standards followed by the applicable industry or approved by the Department of Education. We understand that our personal information will be kept confidential and shall not be unlawfully disclosed and shared without our consent. We reserve the right to withdraw this consent anytime and hereby undertake to timely submit such express withdrawal of our consent in writing to the School, according to the School's policies and regulations on such.

 YES. We hereby give our unconditional consent for the School to use photographs, videos, and other recorded materials taken of our child in the School and other school-related activities at the sole discretion of the School. We reserve the right to withdraw this consent anytime and hereby undertake to timely submit such express withdrawal of our consent in writing to the School, according to the School's policies and regulations on such.

 NO. We do not give our consent for the School to use photographs, videos or other recorded materials taken of our child. While we understand that the School will exert best efforts not to capture images/recordings of our child, we likewise understand that it is difficult for the School to promptly exclude students from group shots being taken during events. Hence, we hereby take full responsibility in instructing and monitoring our child to completely avoid and not to take part in photographs, videos and other recorded materials taken in the School and school-related activities.

By affixing our signatures below we hereby represent and warrant that we understood the foregoing, including any and all consequences of such, we have parental authority over the subject student/child, and we agree to forever render free and harmless and unconditionally release the School, its trustees, officers, teachers, employees, representatives, agents, personnel and contracted parties, from any and all liabilities, claims, demands, actions and other causes of action of any nature arising from our execution of the foregoing document.

In case where only one parent is present: By affixing my signature below I likewise bind my living spouse to the foregoing and commit himself/herself to the same agreements and conditions contained therein. Accordingly, I hereby release CRMI, its officers, teachers, and employees from all liabilities, claims, demands, actions and causes of action of any nature arising from this agreement.
